Process student loan acceptance forms, verify student files, and train financial aid staff on Federal Direct Stafford loan information as well as the imaging system. 

Essential Duties/Functions:

* Advise students regarding eligibility for all federal, state and local financial aid programs within the requirements of federal and state regulations, by telephone, email, and in person, using the college’s computer software program (Datatel Colleague).

* Review loan acceptance forms; troubleshoot the reporting and transmittal of loan originations and disbursements to the Department of Education.

* Review and verify student files as selected by the Department of Education for the verification process

* Assist in the administration of procedures and practices to assure compliance with federal regulations and audit requirements as specified by the United States Department of Education, the North Carolina Educational Assistance Authority, and the North Carolina Community College System.

* Award federal and state financial aid to eligible students upon completion of ISIR download or individually once verification process or loan acceptance form review is complete.

* Train financial aid staff on the ImageNow imaging system and all of its processes

* Train and update financial aid staff on the Federal Stafford Loan program.

* Recommend policy and procedural improvements to the Director, as need arises.

* Maintain the Financial Aid Office website; assist with the maintenance of the social media sites for the office.

* Effectively work with other college constituents as necessary to coordinate outside resources and other financial aid-related activities.

* Actively serve on college committees. 

* Demonstrate and model College’s employability skills: adaptability, communication, information processing, problem solving, responsibility and teamwork.

* Perform all duties as assigned by supervisor.

Difficult Challenges:

* Special verification problems – for example, parents are separated but income reported together (must separate incomes)

* Troubleshooting issues with Department of Education rejections

* As students near aggregate loan limits, calculating how much money students are eligible for


* Daily: Assistant Director of Financial Aid – Operations re updates,  discuss financial aid issues, recover crashed reports

* Daily: Financial Aid - Assistants re imaging, document linkage, verification/loan questions

* Several times a week Financial Aid – Student Relations Advisors re clarification, student financial aid status

* Weekly: Financial Aid –Technicians re transmittal of funds, reason for loan rejection, Common Origination and Disbursement – student loan issues, Default Resolution Group – Student title IV eligibility, NSLDS – student issues.

Educational & Certification Requirements:

* Bachelor’s degree required.

Knowledge, Skills, Abilities & Professional Experience:

* 2 years financial aid experience required.

* Knowledge of federal and state financial aid regulations and ability to interpret rules and regulations.

* Ability to maintain accurate and auditable financial aid records.

* Ability to participate as a team member.

* Ability to readily adjust to change.

* Ability to use a personal computer, including basic knowledge of MS Office and familiarity with Student Information Systems such as Banner or PeopleSoft.  Working knowledge of Datatel preferred.

* Excellent oral and written communication skills.

* Ability to maintain confidentiality of students’ records.

* Ability to work effectively with students, faculty, and staff.

* Ability to work independently with a high degree of accuracy, attention to detail, and ability to meet deadlines.

Departmental/Job Specific Requirements:

* The following training is required and must be completed within the first 6 months of hire.  Plus, some training will need to be completed annually or as frequently as required by the certifying agency, if noted below.

-Safety Related Training:
-Automatic Electronic Defibrillator/CPR
-As required by the Certifying Agency
-Bloodborne Pathogens - Annually
-Emergency Action Plans\Emergency Equipment (incl. Fire Extinguisher)
   - Annually
-E-Vac Chair - Annually
-First Aid - As required by the Certifying Agency
-Reporting Requirements - Annually

-Other Training: 
-Anti-Harassment - Annually
-Personal Information Protection Training - Annually

* Ability to work a flexible schedule as determined by the supervisor to cover the necessary hours.  Registration, graduation, and other heavy work periods will require additional hours.  Evening and weekend work may be required.

* Must be able to maneuver independently among offices, buildings, campus locations, and off-site locations as necessary to complete job requirements.

* Physical requirements include those for general office employment, such as: sitting, standing, keyboarding, and light lifting (of up to approximately 25 pounds).

Working Conditions:

* Work requires mostly sitting with some walking or standing.

* Work requires carrying objects or loads of 20 pounds or less.

* Rare (less than 15%) exposure to hazardous chemicals, filth, fumes, adverse weather, or personal health and safety risks.
